Administration & Office Support Job

Juice personnel are working with an amazing company based in Wakefield. They are now looking for a dynamic and efficient administrator who can help with their recruitment administration working alongside the Learning and Development team. The role is temporary ongoing due to the high demand of the business at present.

Key Responsibilities

  • To undertake a variety of general administrative duties For example, maintaining databases/spreadsheets, analysing training data, creating statistical reports using the learning management system, registering candidates for training, producing information electronically, photocopying, preparing invoices for processing, booking of meeting rooms, hotel accommodation and travel as required.
  • Develop  and maintain filing systems (both electronic & manual) to enhance the smooth running of the L&D function.
  • To respond to incoming queries, ensuring that the callers/visitors obtain a timely response to their query and where this cannot be provided directly, refer them to the appropriate Department/personnel.
  • To liaise with the L&D Manager regarding applications received for apprenticeships and other recognised qualifications and register candidates with our preferred supplier
  • Assist the L&D Manager to manage, organise and monitor internal and external training events in line with the Organisational-wide L&D plan.
  • To book training for specific topics and liaise with Trainers/external providers as required to ensure relevant personnel are registered and undertake training appropriate to their role within relevant timescales
  • To issue routine correspondence in the form of letters, memos or emails as appropriate and in the agreed format.
  • To compile and upload/issue any training materials as required
  • To maintain and report on staff training records.
  • To review maintain and develop a range of L&D reporting statistics from the learning management system, ensuring that such information is accurate, up-to-date and easily accessible. To analyse this information as required, ultimately for use by the companies Senior Management Team.
  • To provide individual learner information on Apprenticeship progress   to the L&D Manager or L&D Business Partner
  • To perform reporting and all relevant administration activity for the companies eLearning system, liaising with relevant personnel to ensure information held is up to date and accurate
  • To track and maintain any relevant funding spreadsheets, e.g., Workforce Development and ensure claims are processed and submitted at the required times to the defined timeline.
  • To provide general guidance to staff and managers on where to access L&D information
  • To record requests for recommendation for Central Training support received and liaise with the L&D Manager for authorisation
  • To sort and distribute incoming internal and external mail to the L&D Department and process outgoing mail
  • To monitor and order stationery for the L&D Department and undertake any relevant stock takes
  • To assist in ensuring the L&D Department is a safe working environment in accordance with legal requirements, Health and Safety regulations and the Trust’s working procedures.
  • To liaise with Departments/Services across the company, during the course of your day-to-day duties and responsibilities.

Key Skills and Experience

  • Pay £11.85 per hour
  • Monday to Friday 9am to 12pm

Personal Qualities

  • Project work which involves Microsoft Excel so will need to be able to use this
  • IT Literate and can use Microsoft office
  • Punctual and reliable
