Administration & Office Support Job

We are looking for an administrator to provide first class, professional administrative support for our clients office to help their company function efficiently.

Key Responsibilities

  • Responsibility for general running of the office to include (but the list is not exhaustive):
  • Telephone, Customer queries and enquiries and engineer queries. (Sending job sheets and service cards and getting prices for engineers).
  • Emails (general requests/enquiries/queries) for Admin & Accounts and sort portal emails.
  • Invoicing engineers work.
  • Typing up of quotes from recommendations, sending quotes and setting up quotes once they have been ordered
  • Setting up new sites/customers and assigning to engineers.
  • Inputting of Purchase Ledger invoices onto SAGE.
  • Preparing Purchase Ledger Invoices and remittances for Director to pay and then send to customer.
  • Dealing with queries on Purchase Ledger.
  • Check P/O No.’s against goods received.
  • Check statements.
  • Chasing money outstanding plus look after certain Management companies.
  • Preparing Engineers work on a monthly basis and assigning work to engineers.
  • Chasing engineers for outstanding / old jobs.
  • Sorting and booking in Service work and assigning to engineers.
  • Assisting management with any other reasonable requests.
  • General administrative tasks for the business.

Key Skills and Experience

  • Familiarity with basic software – Windows, Microsoft Office etc
  • Must have experience on SAGE accounting
  • Ability to type quickly and accurately
  • Ability to learn and use internal filing systems
